A franking machine automatically calculates shipping prices and prints pre-paid postage costs printed directly onto the mailing envelope or a label (for parcels) based on their sizes, weight and delivery service, ensuring accurate and up-to-date pricing. Mailmark franking machine can save up to 61p on First class large letter of up to 500g when compared to Royal mail UK stamp prices as of the April 2nd 2024 rate change.

Non – Mailmark franking machine decertification by Royal mail: From the 1st January 2023 Royal Mail will no longer accept mail from customers who use a non Mailmark franking machine and will only accept mail that has been produced by a Mailmark franking machine.

‘Everyday’ non-barcoded stamps will no longer be valid after 31 January 2023.

Royal Mail is encouraging its customers to use up these stamps by July 2023.

If your business undergoes rebranding or if you have outdated stamps, the Royal Mail stamp swap out form facilitates the exchange of old stamps for new ones. Your non-barcoded stamps can be exchanged for new barcoded versions through our Stamp Swap Out scheme.

To swap out your stamps, simply:

A franking machine that is compatible with the Royal Mail Mailmark rates is a Mailmark franking machine. A Mailmark franked mail includes a barcode that Royal Mail systems can read, allowing them to process your mail in a more cost-efficient way. These cost savings are passed onto you, which means you save even more money on your outgoing post than you would if you franked your mail in the standard way.

Mailmark™ gives you even more discounts on each letter that you send.

Royal Mail have announced that after the 1st January 2023, all machines must use Mailmark technology. FP Mailing believe in using the latest technology and therefore all FP PostBase Franking Machines are already Mailmark machines. Although there may be older machines in the market it is important to consider the importance of Mailmark when considering a new franking machine. Royal Mail have invested over £60 million into Mailmark, and future plans include the incorporation of Mailmark technology into future products and services. Do not get left behind!

You do not need to change the way you use your franking machine to access Mailmark features as the Mailmark barcode indicia will print as standard.

To use a franking machine :

1. Place the letter, packet or parcel onto the scale on your franking machine.

2. Select the Royal Mail service that you require; first class, second class, recorded, signed for etc.

3. Ensure that you have chosen the advert/slogan/logo that you require. This can be anything from your company logo to a marketing message.

4. Place the item into the feeder of the machine to print the Mailmark indicia onto it.

Larger machines in the range have an automatic feeder which will allow you to print multiple items without manually processing them. Machines in the Elite range can have a dynamic scale, which means the machine will automatically weigh each letter, determine the price and print the Mailmark indicia frank mark onto it.

Once you have franked your mail, you can take it to your local Post Office, post it in a Pox Box (in a meter posting envelope) or if you send high volumes of mail, you are able to request a daily collection from Royal Mail.

If you don’t have access to a printer, you can request a Stamp Swap Out form to be posted to you by completing this form online. The instructions for sending back to us will depend on the form you request.

You can also pick up a 'Swap Out' form from your local Post Office along with a free post envelope – but the Post Office won’t be able to actually swap your stamps for barcoded ones - (please note they will only have the forms for the up to £200 option)

While no longer valid after 31 January 2023, Royal Mail recently introduced a 6-month grace period where it will deliver these items as normal and will not apply a surcharge fee for insufficient postage. This period ends on 31 July 2023 and will allow its customers more time to use any of their remaining ‘everyday’ non-barcoded stamps.
